Practice Software for RCICs

Canadian immigration practice has changed. Practice software can now help RCICs manage daily operations with less friction and better structure. Clients expect quick online booking, clear communication, digital payment options, signed agreements, and smooth follow-up. At the same time, RCICs must manage professional duties, client records, meetings, payments, invoices, events, referrals, and staff.

Many consultants still use separate tools for each task. One tool manages calendars, another handles payments, another sends invoices, and another runs events. This approach can work, but it often creates extra admin work. That is why I want to introduce Investatech, a practice software platform built for Canadian immigration consultants.

Practice software, not just booking

Investatech started with a simple goal: to help consultants manage client consultations more easily. At its core, it lets RCICs and immigration firms create booking pages, define services, set availability, and accept free or paid bookings.

Consultants can also sync calendars and manage consultations from a single dashboard. However, the new version goes beyond a basic booking link. Investatech V1.1 combines booking, payments, Initial Consultation Agreements, document sharing, invoices, events, team workflows, promotions, and referrals. In other words, booking is only the beginning.

Practice software built for RCIC workflows

Generic booking tools help clients pick a time, but they do not understand immigration practice. Investatech reflects how Canadian immigration consultants actually work.

A client may book a consultation, pay online, sign an agreement, upload documents, attend the meeting, and later receive an invoice. These are not isolated tasks. They form a real practice workflow, and Investatech brings these steps closer together.

One major feature is the Initial Consultation Agreement workflow. The client can review and accept the agreement before the booking is held, and the platform stores a record of the booking. This makes Investatech different from generic scheduling tools.

Practice software with Stripe payments

Investatech uses Stripe Connect for paid bookings, paid events, and invoices. As a result, payments are routed directly to the consultant’s Stripe account. Investatech does not hold client funds.

This distinction matters. Many consultants want online payment options without unnecessary complications. The pricing model is also simple: free bookings remain free, and free events also remain free. The platform fee applies only when a consultant charges a client through Investatech.

Therefore, a consultant can start with free discovery calls without paying a monthly platform fee.

Initial Consultation Agreements

The Initial Consultation Agreement is one of Investatech’s most useful RCIC-specific features. A consultant can require an agreement before a booking is confirmed. Investatech can then generate a CICC*-aware consultation agreement using the consultant’s details, scope of practice, client information, and booking reference.

A firm may also use its own custom agreement text. The client must review and accept the agreement before submitting the booking, and Investatech stores a snapshot of the client’s acceptance.

Of course, each licensee remains responsible for professional compliance. Investatech is independent of CICC, and CICC has not endorsed, reviewed, or approved the platform. Still, this workflow may help address a common problem: a client books a meeting, but the agreement remains unsigned or is disconnected from the file.

Client documents and AI support

Investatech also supports client document workflows. With the optional AI + Multilingual Module, clients can upload documents during the booking process. The system can generate a plain-language summary of the uploaded material, and the client then chooses whether to share it with the consultant.

This can help the consultant prepare before the meeting. The same module includes an AI Writing Assistant for drafting client emails, follow-up notes, and agreement clauses. The consultant remains in control, and nothing goes out automatically.

The module also supports multilingual booking pages, which are especially useful in immigration practice. Clients may access booking pages in several languages, including English, French, Spanish, Mandarin, Punjabi, Arabic, Hindi, Tagalog, Urdu, and Persian.

Invoices and follow-up work

Not all immigration work starts with an online booking. Sometimes the work has already happened. Sometimes the consultant needs to collect a retainer, and sometimes the client needs a payment link.

Investatech includes invoice tools for those situations. A consultant can send a Stripe-powered invoice with line items, tax handling, optional admin fees, discount codes, expiry dates, and notes. This allows consultants to manage scheduled consultations and other payment workflows in one place.

Events and workshops

Many immigration consultants run webinars, information sessions, group consultations, or workshops. Investatech V1.1 expands the Events module to better support these activities.

The platform supports free or paid events in online, in-person, and hybrid formats. It also includes hero images, registration windows, capacity limits, multi-attendee tickets, QR-coded tickets, confirmation emails, calendar invitations, and check-in mode. After the event, consultants can send surveys and export responses.

Therefore, Investatech may replace separate event registration tools for many immigration-practice events. For example, a consultant could run an Express Entry webinar, a study permit session, or a professional workshop. The same platform can manage registration, tickets, attendance, and survey responses.

Practice software for teams

One major V1.1 feature is Team Mode. It turns a solo account into a firm account while keeping one shared brand. However, each consultant can have separate availability, services, calendars, biographies, languages, and booking pages.

This helps multi-consultant practices. If several consultants offer the same service, the client can choose a consultant before picking a time. The client may also choose any available consultant, and Investatech then routes the booking to the earliest available person.

Each consultant can manage their own availability and Google Calendar connection. Owners and admins can see firm-wide bookings, while consultants can see their own bookings unless the firm gives broader access. This structure supports the growth of immigration firms without forcing everyone into separate accounts.

Practice software for promotions and referrals

Investatech V1.1 also adds growth tools. Promotional offers can appear directly on the booking page with a banner, countdown, automatic discount, and redemption limit. This differs from a private discount code because the client does not need to enter anything.

The offer is publicly available and applies automatically when the client selects a qualifying service. The referral program is also useful. Investatech can generate unique referral links for clients, team members, or referral partners.

When a new client uses the link and completes a paid booking, the referrer can unlock a reward. The reward may be account credit, a cash payout, or a free service. For consultants who rely on word of mouth, this can make referrals easier to track.

Why this matters

Many RCICs are strong at immigration work, but they lose time to admin friction. They chase signatures, manually send payment links, manage calendar conflicts, remind clients to send documents, and copy information between systems.

Investatech aims to reduce that friction. It does not replace professional judgment, compliance obligations, or immigration strategy. Instead, this practice software supports the operational side of practice, including consultations, payments, agreements, documents, invoices, events, teams, promotions, and referrals.

Who should consider it?

Investatech may help RCICs who offer free or paid consultations. It may also help consultants who want a cleaner Initial Consultation Agreement workflow or better online payment options.

The platform may suit consultants who run webinars, workshops, or information sessions. Multi-consultant practices may find Team Mode especially useful, while consultants who serve multilingual client communities may benefit from the AI + Multilingual Module.

Finally, firms that rely on referrals may appreciate referral-tracking tools.

Final thoughts on practice software

Canadian immigration consultants need better practice tools. Generic software can help, but it rarely reflects the details of RCIC work.

Investatech focuses on those details. It supports consultation agreements, multilingual clients, referral relationships, paid and free consultations, events, and team-based service delivery. That makes it worth reviewing.
